Exporting dispensing records from Kroll

Run Kroll's Rx for Drug/Doctor Groups report for the narcotic, controlled and targeted schedules, save it as CSV, and upload it to NarcCount.

NarcCount reconciles against every controlled-substance prescription you filled between counts. In TELUS Health Kroll that list comes from one report, and its settings are the same at every count: only the dates change.

Pick the dates first

Export from the day after your last count to the day of this count. That is NarcCount's reconciliation window, and the count's start screen shows it (“covering Jun 3, 2026 → Sep 1, 2026”). A fill that matches one already on file (same DIN, date, quantity and Rx number) is skipped, so overlapping by a day does no harm.

In Kroll

  • Open Reports → Rx → Rx for Drug/Doctor Groups.
  • On the Selection tab, choose Rxs filled and enter the two dates (not All active Rxs).
  • On the Patient and Doctor tabs, leave All selected.
  • On the Drug tab, open Drug Schedule (F2) and pick N (Narcotic), G (Controlled) and T (Targeted).
  • On the Options tab, tick Print Inactive and group by Rx #, so every fill is its own line with its Rx number.
  • Press Save CSV (not Preview or Print) and save the file with the count date in its name.

In NarcCount

  • From the count, use step 1, Upload your dispensing report. Or go to Upload File and choose Dispensing.
  • Choose the CSV and upload it. NarcCount tells you every change it made to read the file, and asks first if a date could be read two ways.
  • Check the result: the count's Dispensed column fills in, and clicking a Dispensed total lists the prescriptions behind it.

If a number looks off

An Rx that was billed and then cancelled or returned to stock is still in the file: reverse it in Kroll and document it on the count line. Over-the-counter sales of low-dose codeine and transfers to another pharmacy are not prescriptions, so record them on Dispensing → Record a sale or transfer.
