Exporting purchase records from McKesson

Build the Narcotics and Controlled Substances report in McKesson's PharmaClik ordering site, export it to Excel, and upload it to NarcCount.

Your controlled-substance purchases from McKesson come out of PharmaClik, McKesson's ordering site, as one report. You need a PharmaClik user that can open reports.

Pick the dates first

Export from the day after your last count to the day of this count: NarcCount's reconciliation window, shown on the count's start screen. A line that matches one already on file (same DIN, date, quantity and invoice number) is skipped, so overlapping by a day does no harm.

In PharmaClik

  • Open Finance in the left-hand menu, then Reporting.
  • Choose the Narcotics and Controlled Substances report.
  • Set the date range: the day after your last count to the day of this count.
  • Choose Export to Excel, then Build Report, and save the file.

In NarcCount

  • From the count, use step 2, Upload your purchase history. Or go to Upload File and choose Purchases.
  • Upload the file as it downloaded: NarcCount reads .xlsx and CSV. If it is an older .xls file, NarcCount asks you to save it as CSV in Excel first.
  • Check the result: the Purchased column fills in, and clicking a Purchased total lists the invoices behind it.

If a number looks off

Stock from another pharmacy, such as a central fill or an emergency supply, is not on McKesson's report: record it on Purchases → Record a receipt. If a delivery arrived on a different day from its invoice date, press Receiving on the line and enter the day it arrived, because NarcCount counts a delivery on the date it was received.
